Maintaining up-to-date facility information is crucial for smooth operations and effective communication. This guide will walk you through the process of modifying facility information efficiently.
NOTE: Only users with Admin access are able to view and update this information.
Updating Facility Details
1. Navigate to app.withvector.com, then select the “Facilities” tab in the left hand site menu.
2. Use the filter function to locate the specific facility whose information you want to modify (you can filter by facility name, ID, or location).
3. Choose your facility, then click into the “Details” tab. See below for an overview of what can be edited within each section:
- Location Details
- Edit your facility’s address, hours of operation, and contact information
- Upload a map that will be displayed to drivers during check in
- Facility, Custom, and Workflow Configurations
- Update your Vector setup
NOTE: We recommend first reaching out to support@withvector.com or your Implementation Manager before editing, as making adjustments to these fields will cause immediate workflow changes and a potential disruption of daily operations. |
- Driver Yard Instructions: Customize the instructions that drivers receive as they move through their workflows within the Vector app.
- Driver Notifications: Customize the text messages that drivers receive when there is an update with their shipment or delivery during their check in.
4. Select “Save” to apply your changes.
Add a New Spot or Area
1. Navigate to app.withvector.com, select the “Facilities” tab in the left hand site menu, and click on your facility.
2. Click the “Spots and Areas” tab.
3. Select “Add Spot or Area”.
4. Input the following fields:
- Name
- Group: This determines how spots/doors are grouped together within the Spots & Areas tab
- Location type: Is it a spot (stall), door (dock), or area (lot)?
- Capacity: How many trailers can this spot/door/area accommodate?
5. Click “Submit” to apply your changes.
Deactivate a Spot or Area
1. Navigate to app.withvector.com, select the “Facilities” tab in the left hand site menu, and click on your facility.
2. From the “Spots and Areas” tab, find the spot/area/door that you wish to deactivate.
3. Select the “Edit” icon on the right.
4. Uncheck the “Active” box and press “Submit.”
NOTE: The spot/area will no longer appear in the Spots & Areas tab and cannot be used for driver check ins, yard move requests, etc.
5. To reactivate, scroll to the “Deactivated Spots and Areas” section with the “Spots and Areas” tab. Click on the empty box.
NOTE: The spot/area will now be viewable and usable.
Troubleshooting
Insufficient Permissions: If you cannot access the edit functionality, you might lack the necessary permissions. Contact support@withvector.com to confirm.
Changes Not Saving: If your changes are not saving, check for any mandatory fields that may have been left blank. Ensure all required information is filled out correctly.
